What Does an ERP Implementation Really Cost in Kenya?

The most common question we get from Kenyan finance directors is simple: what will this actually cost? The honest answer is that ERP pricing depends on scope, and the only meaningful way to plan is to understand the cost drivers rather than chase a single number.

Because ERPNext is open source there are no per-user licence fees. Your budget goes into services and infrastructure: understanding your processes, configuring the system, moving your data, training your team, and keeping it all running.

The main cost drivers:

  • Number of users and roles that need training
  • Companies, branches and warehouses to configure
  • Data volume and cleanliness in your current systems
  • Integrations required (eTIMS, M-Pesa, banking, payroll, e-commerce)
  • Custom reports, print formats and approvals
  • Hosting model: shared cloud, dedicated cloud, or on-premise

A practical way to phase a budget: 1. Discovery and blueprint — a short, fixed-scope engagement that produces a written scope, timeline and cost 2. Core implementation — finance, sales, purchasing, inventory and the integrations you cannot operate without 3. Training and go-live — role-based training, data verification and a parallel run 4. Optimisation — dashboards, automation and modules added as the team gains confidence

The costs people forget: cleaning historical data, backfilling opening stock balances, buying barcode scanners or receipt printers, and the productivity dip during the first two weeks after go-live. Budgeting for these turns a stressful project into a predictable one.

One more consideration: cheap implementations are rarely cheap. Scoping too narrowly, skipping training, or migrating messy data without cleanup simply moves cost to after go-live, when it is far more disruptive and often more expensive to fix.

Ask any vendor for the same three things: a written scope, a phased timeline with milestones, and clarity on what is excluded. If those are not forthcoming, the project risk is not in the software — it is in the planning.
